My Documents Have My Old Passport Number

You renewed your passport in the middle of a visa process and now a document that is genuinely yours carries a number that does not match. It is far less serious than it feels, but what you do next matters.

Why this happens to so many people

Visa files take months, and passports expire on their own schedule. So a very ordinary sequence produces a very alarming looking file:

You request a university acceptance letter, an employer letter or a criminal record certificate.
Weeks later you renew or replace your passport and the number changes.
Now a document that is genuinely yours carries a number that no longer matches the passport in your hand.

It looks like a discrepancy. In most cases it is a chronology, and the difference between those two things is what this page is about.

The principle consulates actually apply

Your identity is the person, not the number. A passport number is an identifier for a booklet, and booklets get replaced. What a reviewer needs is to be able to connect the two identifiers to one person without guessing.

That connection is normally trivial to make, because the old and new passports share your full name, date and place of birth, and usually a note or an issuing history. The problem is not that the number changed. The problem is only ever that the file does not let someone join the dots.

The useful question is not "is my document wrong". It is "can a stranger reading my file in order see that these two numbers belong to me". If the answer is yes, you usually have nothing to fix.

Fix it at source when you still can

If you have not submitted yet, or the document is easy to reissue, that is the cleanest outcome by a distance.

Ask the issuer for a fresh copy with your current passport number. Universities do this constantly and usually turn it round in a couple of days. Employers can reissue a letter in an afternoon. A reissued document removes the question entirely, rather than adding an explanation of why a document is out of date.

This is worth real effort for documents that anchor your file, such as an acceptance letter or an employment letter, and much less effort for documents where the number is incidental.

When the document cannot be reissued

Some documents are fixed at the moment they were produced. A criminal record certificate, an apostille, a sworn translation, a notarised affidavit: these were true when issued and reissuing means starting the whole chain again, sometimes months of it.

For those, the answer is not to correct the document. It is to include the bridge:

A copy of the old passport biographic page, if you still have it, showing the number the document refers to.
A copy of the new passport biographic page.
Where the passport was replaced rather than renewed, any note or certificate from the issuing authority that links them.

Should you email the consulate about it unprompted?

This is where people get it wrong in both directions, and the honest answer is that it depends on one thing: what is already in your file.

Your situation	What usually makes sense
You already submitted both passports	Leave it alone. The reviewer has what they need. Sending a document they already hold adds activity to a file that is simply queued.
You have not submitted yet	Get the document reissued if possible, or include the bridge documents in the application itself.
Submitted, only the old number appears anywhere	One short message with the two passport pages attached. Factual, no apology, no essay.
They have asked you for clarification	Answer exactly what was asked, attach only what was asked for, and nothing else.

If you do write, keep it to your full name as it appears on the passport, your application reference, the date you applied, and one sentence explaining that the document predates your passport renewal. Resist the urge to ask about your status in the same message. Mixing a correction with a "where is it" makes the message read as chasing rather than tidying.

What actually causes problems

Worth keeping in proportion. A superseded passport number is near the bottom of the list of things that hold files up. What genuinely causes requests for corrections is inconsistency that nobody can resolve:

Your name spelled differently across documents, especially where middle names, second surnames or accents appear in one place and not another.
Dates that contradict each other, including the classic day and month transposition between formats.
A translation that does not match the original it is attached to.
Amounts or job titles that differ between a contract, a letter and a payslip.

Those are worth an hour of checking before you submit. A changed passport number, with both booklets evidenced, generally is not.

At appointments and on arrival

Carry both passports if you still have the old one, or the replacement certificate if you do not.
